What We Can Achieve Together
The Finance and Administrative Assistant provides administrative, technical, compliance and customer service support for the finance and operations functions of the Mongolia office. Duties include recording of invoices, reviewing employee and/or contractor expense reports, as well as assisting conservation project teams with general administerial tasks, such as handing correspondence, maintaining supplies, coordinating logistics of meetings, workshops and events and assisting staff with travel arrangements.
They are responsible for expeditiously and courteously responding to, routing, or resolving inquiries and requests from internal and/or external customers consistent with TNC Values and Code of Conduct. The position works in close collaboration with the operations, conservation project staff and long-term contractors and contribute to the effective implementation of conservation projects.

The Finance and Accounting Assistant provides a variety of routine and non-routine finance and accounting-related tasks for a department or business unit. Duties may include payment of invoices, preparation and processing of accounting forms such as journal entries, verifying the accuracy and coding of journal entry transactions, maintenance of A/P, general ledger and vendor payments, and similar tasks. This is a one-year term position with the potential for extension based on work performance, availability of project funding.
Responsibilities & Scope
Finance/Accounting duties
- Record invoices into the internal financial system ensuring a high level of accuracy, completeness of supporting documentation and correct coding to expense accounts.
- File and archive accounts payable documents and admin files in compliance with TNC and local rules and guidelines.
- Track project expenditures, maintain and update project files, including project progress reports, workplans and budgets.
- Review project staff and long-term contractor expense reports.
- Assist Program Director and/or project managers in preparing and submitting expense reports.
- Support Operations team in fixed asset management, maintenance of office premises and managing stock supplies.
- Ensure compliance with TNC policies and procedures, financial standards and legal requirements.
- Reinforce consistency in the organization's policies and procedures, when providing support related to the relevant field.
Administrative support
- Assist project manager and visiting TNC staff with travel arrangement, meeting logistics, and scheduling.
- Manage the incoming and outgoing mail, coordinate outgoing posts and deliveries.
- Aid in organizing project meetings, events, conferences by booking venues, arranging equipment and refreshments, and communicating with attendees.
- Draft outgoing correspondence in English and Mongolian, if necessary.
- Prepare and disseminate weekly updates on meetings and other events.
- Update shared Outlook calendar.
- Take minutes of staff and other meetings, when necessary.
What You'll Bring
- Associate’s degree in accounting, Finance or related field and 2 years' related work experience or equivalent combination.
- Experience in database management or producing reports, or in the use of automated systems or touch key calculator.
- Experience working with basic principles in accounting or in analyzing financial figures
Desired Qualifications
- Strong attention to detail, accuracy in work product.
- Proficiency in financials software and Microsoft office suite.
- Familiarity with financial regulations (Personal Income tax, Social Insurance tax) and reporting standards (etax, ebarimt).
- Excellent organizational skills, including the ability to establish priorities and meet deadlines.
- Multi-lingual skills and/or multi-cultural experience appreciated.
- Strong organizational and multitasking skills with keen attention to detail.
- Good written and verbal communication skills in both Mongolian and English.
- Ability to work independently and collaboratively in a team-oriented environment.
